Admin: Scheduled Delivery
Page Description
Use the Scheduled Delivery page to view and/or deliver scheduled, but undelivered, reports. In order for a report to appear on this page, there must be at least one schedule defined on the Delivery Scheduling page that tells Copia to postpone delivering results until a specified date and time. This delivery schedule may be for any result delivery rule for the various delivery methods (email, fax, inbox, etc.) set up for users and locations on the Result Delivery lab tasks page or the Users or Locations administration pages.

Accessing this Page
- Click the Administration menu button, click the Monitor button, and then click the Scheduled Delivery
submenu link. You must have the necessary security permissions to access
the Administration menu button and to access the Scheduled Delivery administration page.
When you click the Administration menu button, Copia opens the main
Administration menu, which contains administrative menu buttons, including
the Monitor menu. To return to the main menu for Copia, click the Lab
Tasks menu button.

Accessing the Scheduled Delivery Filter
- When viewing the Scheduled Delivery page, you may either
view or hide the Scheduled Delivery Filter.
- Click the Show Filter link to make the filter visible.
- Click the Hide Filter link to hide the filter.
- When the filter is visible, you may select the criteria that Copia uses to
create the list of reports awaiting delivery. See "Setting
the Scheduled Delivery Filter" below.

Setting the Scheduled Delivery Filter
- If the scheduled delivery filter is hidden, click the Show Filter link
to make the filter visible. See "Accessing the Scheduled Delivery Filter"
above.
- Select the desired content filter options.
- Recipient Type: Select "Staff" or "Location" to limit the list to reports delivered to either staff members or locations.
- Recipient: Select the report recipient from the drop-down list, which includes staff members or locations, based on your selection for the Recipient Type. Copia will only search for reports delivered to the selected recipient. Select "All" to include reports for either all staff members or all locations. Click Search to select the recipient in either the Ordering Provider Search page or the Location Search page. See the Ordering Provider Search or Location Search topics.
- Ordering Location: Select the location where the orders were
placed. Copia
will only search for reports with orders that were placed from the selected location.
Select "Any" to include reports from all ordering locations. Click Search to select the Ordering Location in the Location Search page. See the Location Search topic.
- Ordering Provider: Select the provider who requested the orders. Copia
will only search for reports with orders that with the selected provider as the ordering provider.
Select "Any" to include reports from all ordering providers. Enter one or more letters and click Search to select the Ordering Provider in the Ordering Provider Search page. See the Ordering Provider Search topic.
- Delivery Method: Select a delivery method (Inbox, Email, Fax, RAPS, or Direct Printing) from the drop-down list. Copia
will only search for reports that are set to be delivered by the selected method.
Select "All" to include reports that will be delivered by any of the available methods.
- Status: Select an order status from the drop-down list. Copia
will only search for reports for orders that have the selected status (Complete, Partial, Complete (Cancelled), Partial (Cancelled), or Cancelled.
Select "All" to include reports for orders of all statuses.
- Severity: Select a severity from the drop-down list. Copia will only search for reports that contain results that have the selected severity (Critical, Abnormal, or Critical or Abnormal).
Select "All" to include reports with results of all severities.
- Priority: Select a priority from the drop-down list. Copia will only search for reports that contain order choices that have a priority equal to the selected priority level (STAT, ASAP, or Routine).
Select "All" to include reports with order choices of all priorities.
- Select the desired Show options to control how many reports Copia displays based on dates and delivery status.
- Reports received in the past __ days: Select this option and enter the number of days for which you want to view reports. Copia only searches for reports within this timeframe. If you select this option, also select whether Days include every day of the week (Monday through Friday, as well as Saturday and Sunday) or Days include only weekdays (Monday through Friday only). This filter option also includes data on the weekends. When this filter option is not turned on, and you have the days count set to "5" on a Monday, the data spans back to the beginning of the previous Wednesday. If the weekdays option is turned on, the data spans back to the beginning of the previous Monday.
- Reports received between: Select this option and enter Start and End date values for the range of days for which you want to view reports. Copia only searches for reports delivered after the start date and time and before the end date and time. By default, Copia displays the current date and time as the Start time, and 11:59PM of the current day as the End time. Select a date from the calendar view by clicking the calendar icon located next to the date fields. Click the Now button to enter the current date and time in the fields. Click the Clear button to completely clear the date and time fields.
- Select the Only show reports waiting to be delivered option to display only those reports that are currently awaiting delivery. If you clear this option, Copia will display all of the reports that have been scheduled for delivery within the selected time frame (see above), whether they have already been delivered or are awaiting delivery.
- Remember that each filter option you use further limits the number
of possible matching results. If you use all of the filtering options,
then Copia
will only display those results that match all of the parameters you
have specified.
- Once you have the desired settings for the scheduled delivery filter, click the
Refresh button.
- Copia
updates the list in the Reports section of the page. These
are the reports that are or have been scheduled for delivery. See "Reviewing
the Filtered List" below.

Reviewing the Filtered List
- Once you have set your filter(s) and clicked the Refresh button,
Copia
updates the list in the Reports section of the page. See
"Setting the Scheduled Delivery Filter" above.
- Information for each report is listed with columns for each of the
following:
- Severity: The severity of results on the order.
- Priority: The highest priority of an order choice on the order.
- Order ID: The identifying number for the order that was assigned
when the order was placed. If the order was saved as a standing order (multiple occurrences of
the same order), then an "(S)" will appear next to the Order ID.
- Patient: The patient on the order.
- Order Choices: The order choices included in the order.
- Results Received: The date and time Copia received the results.
- Order Date: The date and time that was set in the Order Date fields
when the order was placed.
- Ordering Provider: The name of the provider who placed or requested the
order.
- Ordering Location: The location where the order was placed.
- Recipient: The user or location who received or will receive the report.
- Delivery Method: The method Copia used or will be using to deliver the report.
- Delivery Address: The email address, fax number, etc. to which Copia delivered or will deliver the report.
- Status: The completion status of the order.
- Delivered: The delivery status of the report.
- Click the Severity, Priority, Order ID, Patient, Results Received, Order Date, Ordering Provider, Status, Delivered, and Selected column headers to sort the list of reports by the selected column. Each time you click a column header, Copia changes the sort to either ascending or descending order, as indicated by the sort arrow.
- After you review the list, you may select and deliver one or more reports. See "Delivering Scheduled Reports" below.
- To change the list of reports, modify your filter settings, and then click Refresh. See "Setting the Scheduled Delivery Filter" above.

Delivering Scheduled Reports
- Once you have set the criteria and clicked the Refresh button,
Copia
updates the list in the Reports section of the page. See "Setting the Scheduled Delivery Filter" above.
- Use the scroll bar on the right side of the page to view the details
for all of the scheduled reports.
- Select the checkbox in the Selected column next to each report you want to deliver.
- Click the Deliver button to immediately queue the selected report(s) for delivery.
